Parties and premises
Record legal names, guarantor, property, suite, area, measurement basis, and permitted use. Keep rentable and usable area separate; do not substitute a marketing name for the contracting party.
Extract lease fields, verify their sources, and resolve exceptions before the data reaches a rent schedule or underwriting model.
AI lease abstraction extracts terms from leases and supporting documents into a structured summary. Scanned files may need optical character recognition (OCR). A usable abstract connects each value to its document, page, and clause so a reviewer can check it.
The output is a draft record, not a legal opinion or an investment decision. Keep uncertain values unresolved until a qualified person reviews them. MRI's published workflow combines extraction with expert review and source references.
This guide covers commercial lease facts. The broader AI underwriting workflow covers approved assumptions, models, and investment decisions.
Choose fields for the intended task, then use the same definitions for extraction and review. This is a starting checklist, not a universal lease template.
Record legal names, guarantor, property, suite, area, measurement basis, and permitted use. Keep rentable and usable area separate; do not substitute a marketing name for the contracting party.
Separate execution, possession, lease commencement, rent commencement, and expiration. Preserve event-based triggers, required certificates, and any unconfirmed date instead of forcing every field into a calendar date.
Extract every rent period, amount, currency, payment frequency, area basis, escalation formula, and abatement condition. Separate base rent from additional rent and keep conditional concessions visible.
Record common-area maintenance (CAM), taxes, insurance, proportionate share, base year, caps, exclusions, gross-up provisions, and reconciliation rights where stated. A summary label such as 'net lease' is not a substitute for the clauses.
Capture renewal, termination, expansion, and purchase options where present. Record eligibility conditions, notice windows, recipient, delivery method, and rent-setting mechanism; an option is not an exercised extension.
Record deposits, guarantees, tenant-improvement allowances, repairs, assignment, subletting, and restoration. Preserve qualifications and cross-references; ask counsel to interpret disputed rights rather than turn them into a yes/no field.
Store the original wording, normalized value and unit, document ID and version, PDF page and printed page label, clause or table reference, effective period, extraction run, reviewer, correction reason, and approval status. Derived values also need their inputs and formula. A document-level citation alone does not prove a particular field.
List the executed lease, amendments, exhibits, side letters, and commencement certificates available to the team. Record execution and effective dates separately. Flag referenced but absent documents; an uploaded package is not automatically complete.
Keep the original PDF alongside OCR or other machine-readable output. Check page completeness, rotated scans, footnotes, handwritten changes, signatures, and rent-table alignment. OCR text is an aid, not the authority.
Request the defined fields with supporting passages. Instruct the system to flag absent, illegible, conditional, or conflicting evidence rather than infer a customary term. Keep calculations separate from directly stated values.
Build a field-by-field change log showing original wording, proposed replacement, effective date, and supporting documents. Do not assume the newest file changes every term. Send unclear precedence or execution questions to qualified review.
A lease administrator checks operational fields and source links; finance checks schedules and units. Counsel reviews ambiguous legal meaning or conflicting rights. Record sign-off and unresolved items before exporting an approved version.
Open each material citation and compare the value with the surrounding clause, definitions, footnotes, and amendments. A plausible answer or a high confidence score is not approval. NIST's Generative AI Profile, section 2.2 describes false content and fabricated citations as risks.
Recalculate rent schedules with deterministic arithmetic. Check currency, monthly versus annual amounts, area basis, escalation dates, overlaps, gaps, and rounding. Cross-check against a rent roll as separate evidence; it must not silently overwrite the lease.
| Field state | Required handling |
|---|---|
| Not found | Leave the value empty and record 'not found in supplied documents.' Request the missing exhibit or clause; do not use zero or 'none'. |
| Illegible | Identify the affected page and field. Obtain a better copy or manual transcription checked against the source. |
| Conditional | Preserve the trigger and dependency. Keep the date pending until the required event evidence is available. |
| Conflicting | Show both values and citations. Assign a reviewer, resolution reason, and due date; do not silently choose one. |
| Not applicable | Use only after a reviewer confirms the field does not apply. Absence of a clause alone does not establish this status. |
Dates may depend on later evidence. GSA's May 2025 L100A template, page 1 provides for commencement to be specified in an amendment after acceptance. This illustrates a dependency in a federal leasing template, not a rule for all commercial leases.
All documents, clauses, page numbers, dates, and amounts below are invented for instruction. This is not a private lease, a product test, or a reported client result.
Suppose a package has an executed office lease, amendment A, and a side letter. The lease states monthly base rent of $10,000. Amendment A proposes replacing that amount with $10,500 effective July 1, 2027. A referenced acceptance certificate is missing, and renewal-notice terms disagree.
| Field | Draft result | Evidence and review |
|---|---|---|
| Base rent | $10,000/month before July 1, 2027; proposed $10,500/month thereafter. | Hypothetical lease p. 8, §4; amendment A p. 2, §2. Reviewer checks execution, scope, and effective date before approval. |
| Annualized base rent | $126,000 at the proposed new rate, not total occupancy cost or a calendar-year forecast. | Derived calculation: $10,500 × 12. Link to the approved rent field; additional charges remain separate. |
| Commencement | Pending. Acceptance certificate referenced but absent. | Hypothetical lease p. 3, §2. Request the certificate; do not copy the signing date. |
| Renewal notice | Conflict. Six months in the lease; nine months in a side letter. | Hypothetical lease p. 15, §10; side letter p. 1. Counsel reviews status and precedence before any deadline is calculated. |
The reviewer can approve the amended rent independently while leaving commencement and notice fields blocked. Release only the approved fields with their permitted use and visible exceptions. If an underwriting model requires a blocked field, stop that import until its owner resolves it.
Require working field citations, reconciled rent math, named reviewer approval, and an exception list. Map units, date formats, empty values, and approval states to the receiving system. Preserve the abstract version and supporting documents so future amendments can be reviewed against it.
MRI Contract Intelligence describes extraction of dates, financial figures, and clauses with expert review and source traceability. That is a vendor-described capability, not Zero Flux's test result. Ask for a demonstration of amendment handling, clickable citations, correction history, and export mapping. See the AI-tools guide for wider workflow-fit checks.
In an authorized pilot, compare against a reviewer-approved reference abstract. Measure material-field errors, missing terms, incorrect citations, unresolved conflicts, and total extraction plus review time. Include poor scans and amendments. Do not accept a headline accuracy percentage without its field definitions and test set.
Confirm access controls, retention, deletion, training use, and subprocessors before uploading confidential leases. Use synthetic documents for public demos. The AI in real estate overview explains broader risk controls. This guide is operational education, not legal, accounting, or investment advice.
QUICK ANSWERS
Start with parties, premises, term, base rent, escalations, concessions, expense recoveries, options, notices, and obligations needed for the task. Keep units, conditions, source references, review status, and amendment history with each field.
Compare each affected field with the original lease, preserve both passages and effective dates, and record the proposed change. A qualified reviewer must resolve unclear scope, execution, or precedence before the value is approved.
No. Not found, illegible, conditional, conflicting, and not applicable are different states. Keep missing values empty with an explanation; use zero only when the source supports it and a reviewer confirms it.
No. Extraction can organize evidence, but it does not establish enforceability or resolve ambiguous rights. Keep legal interpretation and disputed clauses with qualified counsel, and financial assumptions and decisions with their accountable owners.
Primary sources reviewed October 12, 2026. MRI establishes vendor-described capabilities, not independently measured accuracy or savings. GSA's public federal lease template illustrates a conditional commencement date; it does not prescribe commercial lease terms. NIST informs the discussion of false outputs and citations. Field definitions, review checks, and release criteria are Zero Flux's operational recommendations. The worked example is entirely hypothetical. No private leases were used.
