    Prove the exact integration

    Name your PMS, CRM, edition, property type, and tour calendar. In a demo, follow one test lead through inquiry, updated availability, booked tour, CRM record, and staff takeover. A logo on a partner page does not prove that every field or action is supported.

    Test current property facts

    Change an approved rent, concession, fee, or tour slot and check the next answer. Ask what happens when the feed is stale or the knowledge base conflicts with the PMS. The useful result is a correct answer or a visible escalation, not a confident guess.

    Check each channel and handoff

    Test phone, SMS, email, and web chat separately where included. Confirm hours, language coverage, recording rules, opt-outs, accessibility, and who receives an unanswered question. Ask to see the transcript, queue owner, and response deadline.

    Review data and staff permissions

    Request written terms for retention, deletion, model-training use, subprocessors, access controls, and incident handling. Confirm who can change property facts, export prospect records, review transcripts, and disable sending or record changes.

    Compare the full operating cost

    Ask for eligible and billable units, portfolio minimums, included channels, implementation, integration maintenance, voice/SMS charges, support, and cancellation terms. Add staff review time and any CRM migration work. For a small portfolio, confirm purchase eligibility before a long demo.

Use the same property scenario and quote scope for each candidate. These are recommended evaluation checks, not claims that every product provides every control. Keep sensitive applicant data out of an unapproved demo.

Keep applicant approval or denial, screening exceptions, accommodation requests, complaints, and negotiated terms with qualified staff. Do not let a communication pilot silently become a screening or policy-decision system.

Consistent information and an audit trail

Use approved rules for fees, availability, and prospect treatment. Retain the source version, response, action, timestamp, and responsible reviewer under your records policy. Test prompts that ask for steering or discriminatory preferences.
